Job Description

Responsibilities: A Kforce client is seeking a Middle Office Operations Support in Saint Paul, Minnesota (MN).Complete Description:

• Mailing letters, forms and statements requested by phone reps, full service and self directed and new account welcome letters
• 15% is usually statements for the account (tax season will have more tax statements sent out)
• 55% is forms that client requested or nigos that need to be redone/signed by client. (Bank link requests, IRA beneficiary designations, account applications and any form client requests)
• 10% sale material from the Sales Team (fact sheets, Mutual Fund Sales sheets, and prospectuses)
• 15% Investments Connect welcome letters (New accounts)
• 5% Options welcome letters
• NIGO Spreadsheet
• Updating NIGO spreadsheet marking and addressing new NIGOs, updating and follow up on existing NIGOs. 10 hours per week
• This is for MM01 and M964 rep codes
• Keeping updated on current nigos and documenting new NIGO that come back to IC
• NIGO Callouts. New paperwork upfront NIGO call out. Calls made for paperwork NIGOed by back office. Follow up NIGO call outs
• Most typical NIGO call outs are for missing fields/ or questions such as: Foreign political figure, DL exp date clarification, IRA distribution code, withholding amount, need a copy of DL, Need death/birth certificate, missing additional documents, and other clarifying questions in regards to forms sent in
• Processing forms that come in through shared email box (emailed and faxed forms). Reviewing and signing off on forms
• Many of the most frequent forms are 50 % IRA distribution requests, 25% Forced rollover distributions, 10% bank link requests and then a mix of other forms like IRA beneficiary forms, account applications, name change requests, etc.
