Project Coordinator at Saint Paul

Growing consulting/software company in healthcare industry is looking for a fast thinking, highly motivated Project Coordinator with a sales support background. We are interested in a person with administrative and project management experience, the ability to work efficiently, understand the importance of being part of the big picture, and going above and beyond the requirements of tasks at hand.

The primary function of this position will be to provide direct client assistance before and after services are sold, project coordination of sold services, data entry, documentation formatting, problem resolution and varying administrative support tasks for sales representatives and consultants.

Primary Job Responsibilities:

Project Coordination
  • Preparing sales proposals, services and subscription agreements
  • Providing an alternate contact for clients if Sales Rep is not available for pre and post sale questions or concerns
  • Creating and maintain consulting project plans; coordinating internal and external project meetings
  • Determining what data and information is required for the project and requesting those resources from the client
  • Keeping all parties informed of confirmations and changes in project schedules; following-up with assigned staff to ensure deadlines are met or expedited
  • Formatting and distributing client presentation handouts and final reports

Administrative Support
  • Creating and maintaining client folders; ensuring correct documentation is accessible and properly organized/named
  • Inputting consulting data into an internal CRM system
  • Uploading patient information into an auditing software system and/or randomizer
  • Organizing hard copy client materials for auditing consultants
  • Gathering information for assigned Sales Rep and preparing documentation for clients as requested

Required Skills:

  • Bachelors degree
  • 2 to 3 years of sales support and/or customer service experience required, competency and familiarity with a small organization preferred
  • Project management experience
  • Ability to write reports and business correspondences. Ability to effectively present information and respond o questions from peers, groups of managers, and clients
  • Ability to understand and carry out instructions in written and/or oral form
  • High level of problem solving capability
  • Strong organizational skills with attention to detail
  • Team oriented personality with a positive and effective work ethic; must be a self-starter
  • Work daily and effectively to balance multiple projects, prioritize workload, and work within deadlines
  • Regular attendance is an essential function of this position in order to be effective
  • Knowledge of Microsoft Excel, PowerPoint, Word and Outlook required, advance Excel skills strongly preferred. Experience with PSA / CRM system a plus.
