Job Description
Payroll Processing Duties:
- Oversee the issuance of accurate weekly, biweekly and semi-monthly payrolls according to company schedules, including off-cycle payrolls
- Audit time records to ensure compliance with company policy and labor regulations
- Ensures all payroll tasks are complete before the payroll is processed, including verification that all time records are entered and balanced, and all necessary employee records are updated
- Review automated system output such as payroll registers and other standard reports to identify and correct out-of-balance conditions
- Research and resolve any pay discrepancies
- Research time accrual issues (such as vacation, sick time, etc.)
- Maintain and process garnishment and child support withholding orders including responding to all inquiries in a timely manner and making payments by check or electronically when required
- Reconcile payroll-related general ledger accounts on time each month as assigned
- Interact with Human Resources Department to ensure efficient and accurate flow of information
- Accurate data entry of direct deposit enrollment forms and W-4 forms
- Calculate and issue off-cycle payments when necessary
- Complete employment verifications, and respond to unemployment claims in a timely manner
- Research federal, state and local payroll laws and regulations
- Research and prepare reports for management on an adhoc basis and/or regularly scheduled basis
- Calculate and prepare general ledger entries, including month-end payroll accruals, inter-territory and inter-company entries
Tax Reporting and Payment Duties:
- Make payroll tax payments and prepare payroll tax reports in a timely manner.
- Assist in the reconciliation process of payroll tax data and W-2 information.
General Duties:
- Open and sort mail and deliver to appropriate Payroll staff.
- Must be able to respond to employee and management inquiries in a professional, timely and courteous manner at all times.
- Perform miscellaneous duties and projects as assigned.
Job Requirements
Education/Certification:
- Associates or bachelors degree in Accounting, Business, or Finance
- Current FPC or CPP certification
Experience:
- Minimum of 5 years full-cycle payroll processing experience in a large, multi-state company (revenue > $500M) that uses a well known ERP system (e.g. SAP, Oracle, JD Edwards, Lawson, etc.)
- Strong knowledge of federal and multi-state payroll regulations
Knowledge, Skills, and Abilities:
- Excellent written and verbal communication skills
- Ability to successfully manage interruptions during the workday to meet employee and company needs
- Ability to organize and prioritize work, meet deadlines, and work independently
- Strong customer service and analytical skills with attention to detail and accuracy
- Must be able to work overtime when necessary to ensure deadlines are met
- Intermediate to advanced level of experience with Microsoft Office required (Excel, Word, Outlook)
Preferred:
- Experience using Lawson payroll application and Kronos timekeeping application
